ScopeThis policy describes how we process personal information when you:
Browse or use Coachivas (the “Platform”);Create or manage an account;Book, pay for, or take part in coaching sessions, or use courses, bundles, or other paid features we offer;Apply to or operate as a coach;Contact support or submit forms; orReceive service, security, or policy messages from us.If you follow links to third-party websites or use embedded tools, their privacy notices apply there (see Section 10).
Information We CollectWe collect information you give us, information generated when you use the Platform, and information from partners where needed to run payments, communications, and security.
2.1 Account and Identity
Name, email address, phone number (if you or we collect it), password (stored in hashed form), role (for example, client or coach), country or time zone where relevant, and verification information we require for coaches where we offer verification (for example, identity or professional checks).2.2 Profile and Coaching Context
For coaches: Profile text, photo, coaching focus, credentials you choose to display, availability, pricing, and similar fields shown on your listing.For clients: Profile details you add, information you include in booking or session flows (for example, goals or notes where the product allows), and information needed to arrange sessions.2.3 Bookings, Payments, and Support
Booking history, session status, messages sent through the Platform where that feature exists, invoices or receipts metadata, refund or dispute records, and communications with support.2.4 Payment Data
Payments are processed by payment providers we enable (for example, card processing via providers such as Stripe or PayPal). We typically receive limited payment information (such as payment status, masked or partial card details as shown by the provider, and transaction references). We do not store full payment card numbers on our servers; card data is handled by the payment provider under its terms.2.5 Usage and Technical Data
IP address, device and browser type, approximate location derived from IP if we use it, log and diagnostic data, cookies and similar technologies (Section 8), and security or fraud-prevention signals where used.2.6 Communications
Service emails or in-app notifications (for example, booking confirmations, security alerts, important policy updates). Marketing is sent only where permitted by law and, where required, with your consent (Section 9). How We Use InformationWe use personal information to:
Provide and improve the Platform (accounts, discovery, booking, messaging where available, and purchased content);Process payments and help prevent fraud;Verify coaches and support trust and safety where offered;Communicate with you about your account, bookings, and material changes;Enforce our Terms and policies, investigate misuse, and protect users;Comply with law and respond to lawful requests; andUnderstand usage in aggregate or pseudonymized form to improve reliability and product experience where configured.We do not sell your personal information as a commodity. If we use advertising or analytics in ways that qualify as “sale” or “sharing” under certain US state privacy laws, we will describe that and provide choices as those laws require.
Legal Bases (UK / EEA)If you are in the UK or EEA, we rely on one or more of the following, depending on the processing:
Contract — to provide the services you request;Legitimate interests — to secure the Platform, prevent abuse and fraud, improve the product, and send service-related messages, balanced against your rights;Legal obligation — where we must retain or disclose information; andConsent — where required (for example, certain non-essential cookies or marketing email where consent is the appropriate basis).You may withdraw consent at any time where processing is based on consent, without affecting the lawfulness of processing before withdrawal.
How We Share InformationWe share personal information only where needed, with:
5.1 Coaches and ClientsTo arrange and deliver sessions, we share information reasonably necessary for that purpose (for example, names, session details, and contact or meeting information as implemented on the Platform—such as notifications, email used for booking-related messages, or in-app messaging if available).5.2 Service Providers
Hosting, email delivery, analytics, customer support tools, security monitoring, video or session tools if used, and payment processing—under agreements that require appropriate safeguards.5.3 Professional Advisers and Authorities
Lawyers, accountants, or insurers where needed, and regulators or law enforcement when required by law or to protect rights and safety.5.4 Business Transfers
If we merge, sell assets, or reorganize, personal information may be transferred as part of that transaction, subject to protections required by law. International Transfers
If we transfer personal information outside your country (for example, to service providers in the United States or other regions), we use appropriate safeguards where required (such as Standard Contractual Clauses, the UK Addendum or International Data Transfer Agreement where applicable, or other lawful mechanisms). RetentionWe keep information for as long as needed to provide the Platform, meet legal, tax, and accounting requirements, resolve disputes, and enforce our agreements. Retention periods can vary by data type and context.
Cookies and Similar TechnologiesWe use cookies and similar technologies for essential operation (for example, security, login sessions, basic preferences), analytics where enabled, and marketing where enabled.
You can control many cookies through your browser. Where the law requires, we will present a cookie preference tool and record your choices.
MarketingWe may send marketing about Coachivas where the law allows. Where consent is required, we will request it separately from accepting the Terms.
You can opt out of marketing emails using the unsubscribe link or by contacting hello@coachivas.com. Transactional and important service messages (for example, booking confirmations or security notices) may continue.
Third-Party Links and Embedded ServicesThe Platform may link to third-party sites or embed third-party tools. Their privacy practices are governed by their policies. We are not responsible for third-party sites or tools you choose to use.
SecurityWe use technical and organizational measures intended to protect personal information (access controls, encryption in transit where appropriate, monitoring, and training). No method of transmission or storage is completely secure. If you suspect an issue, contact us promptly.
Your RightsDepending on your location, you may have rights to access, correct, delete, restrict or object to certain processing, data portability, and to withdraw consent where processing is consent-based.
To exercise rights, contact hello@coachivas.com. You may also complain to your local supervisory authority (for example, the ICO in the UK if you are in the UK).
Automated DecisionsWe do not make decisions about you based solely on automated processing that produces legal or similarly significant effects. If that changes, we will update this policy and explain any rights you have (for example, human review) where required by law.
Changes to This Privacy PolicyWe may update this policy from time to time. We will post the updated version and change the “Last updated” date. Where changes are material and the law requires, we will provide additional notice (for example, by email or a prominent notice on the Platform).
